Lost persons

Your event plan must include a clear and documented process, such as the steps outlined here, for responding to lost or missing persons.

Before the event

Nominate a central point for lost persons (for example, the First Aid post, Info tent or Event Operations Centre).
Brief staff and volunteers during induction or before the event on the lost child procedure.
Display signage at key areas showing where lost children should be taken or reported.

If a child is found without a parent or guardian, the child should be taken to the nominated Lost Child Point by a uniformed or clearly identified staff member with appropriate credentials.
Two responsible adults should always remain with the child. Never leave a child alone or in the care of a single adult.
Do not announce the child’s name over a PA system. Instead, announce a generic message for the parent/guardian to attend the Lost Child Point.
Ask the child for any identifying information, such as their name, guardian’s name or phone number and document on a lost persons checklist form. Don't share this information publicly.
If the child is not collected within a reasonable time or appears distressed, inform event security and/or the Victoria Police immediately. Note: If not located within 20 to 30 minutes or if person is particularly vulnerable, call emergency services.

Record the child’s name, age, physical description, last known location and any other helpful details.
Notify all relevant event personnel immediately, including security, crowd managers and the Operations Centre.
Monitor entrances/exits and advise security or police if the child is believed to have left the site.
Maintain clear communication with the reporting guardian throughout the search process.

Document the incident using the event’s incident reporting procedure.
Review procedures post-event to identify any improvements needed in child safety or communication processes.
