Terms and conditions

The terms and conditions for hiring the meetings rooms at our library branches.

Bookings

  • These air-conditioned rooms are available for hire to any organisation or group. They are not available for parties or receptions. Please see our policy for community use of council meeting facilities.
  • Audio-visual equipment (if available at the branch) must be requested at the time of the booking.
  • Bookings must be paid for prior to occupancy of the room. The key will not be issued until payment.
  • Payments must be made by cash, EFTPOS or cheque made payable to City of Boroondara, prior to meeting room use.
  • Refunds will be considered only if the paid booking is cancelled with at least 48 hours notice.

Rules of hire

  • Keys for after hours use of meeting rooms must be collected in person at the library during library opening hours at the Information Desk. The keys must be picked up no earlier than 48 hours before the meeting.
  • It is the responsibility of the person who collects the keys to ensure that exits are left locked and the lights and kitchen equipment are turned off at the conclusion of their booking.
  • The key must be returned immediately at the conclusion of the meeting, either to library staff, or if the library is closed, through the overnight chute at the front of the library.
  • Set-up and pack-up time must be included in the booking time.
  • Rooms must be left clean and tidy for the next meeting room users. Please return furniture and equipment to where they were found. Please place rubbish in the rubbish bins and ensure no perishables are left in the fridge.
  • The City of Boroondara has a NO SMOKING policy in all buildings.
